What does AI stand for?

You’re probably familiar with the term artificial intelligence (AI), but maybe you’re not 100% sure what it means. Well, we’ve got you covered! It’s a field of computer science that focuses on making machines do things they weren’t programmed to do—things like learning and problem-solving, using data instead of being given instructions by humans. You’ve probably heard of some common types of AI: chatbots (like Siri), self-driving cars and trucks, and recommendation engines (like Netflix).

But did you know that AI is also used in HR software? That’s right! If you’ve ever had to fill out an employment application online or submit a resume through an online portal, then you’ve probably interacted with the kind of artificial intelligence we’re talking about today.

How can AI help to boost internal communication?

AI can help boost internal communication in a number of ways, such as: automating repetitive tasks, content creation, improving collaboration, enhancing comms channels, and analyzing communication patterns.

1. Automating repetitive tasks

AI can automate repetitive tasks such as scheduling meetings, sending reminders, and responding to common questions, freeing up time for more critical communication.

2. Content creation

AI can help you with content creation for your (internal) comms channels. With minimum input, you can generate written content, like articles, newsletters, and social media posts. Next to writing content, AI can also help you generate images, video, and audio. Some tools for this can be found further in this blog post.

3. Improving collaboration

AI-powered tools can help employees collaborate more effectively by providing them with real-time translation, speech-to-text, and text-to-speech capabilities, making it easier for employees to communicate regardless of language barriers.

4. Enhancing communication channels

AI-powered chatbots and virtual assistants can be integrated into internal communication tools, such as email and messaging platforms, to provide employees with quick and convenient access to information and assistance.

5. Analyzing communication patterns

AI can also be used to analyze internal communication patterns and identify areas for improvement, such as detecting and addressing communication bottlenecks or identifying underutilized communication channels.

Well, it’s pretty clear that AI is everywhere, but let’s highlight some tools and use cases you could start using today to speed up content creation and boost employee engagement instantly.

5 AI tools to help you create engaging content in minutes

Having a lack of time or inspiration for your upcoming company newsletter? Are you tired of using the same words in your job descriptions over and over again? Or would you like to spice up your onboarding or microlearning programs with fresh copy and illustrations? AI to the rescue! 🦸

Obviously, the human touch will inevitably be needed to tailor any comms to your organization, but here are some AI tools that can definitely help you save time and create fun and engaging content in minutes.

1. Chat GPT

We’re pretty sure this one popped up on your timeline, or anywhere else you get your news already. However, Chat GPT is a true game changer for anyone writing content. Simply type any request, and I’m pretty sure this tool by openai.com has a helpful answer. It will need some personalization to make it more specific to your use case, but it will save you tons of time thinking of copy. To give an example: I asked ChatGPT to promote a new microlearning about handling customer feedback, here’s what they came up with 🥇

2. Illustroke.com

Struggling to find an illustration to add to your internal comms update or to one of your microlearning modules? Worry no more, with illustroke you can create awesome illustrations by filling in just a few words. Here’s what the AI tool created with the words “a waiter serving coffee”. Pretty cool, right?! 😎

3. Copy.ai

Copy.ai is an AI-driven platform that uses machine learning to help users create content in minutes, like helping HR managers create content that boosts employee engagement. Some use cases that you could apply: hr blog posts, employee bios, social media posts, announcements, newsletters, employee communication templates, and web copy for your vacancies page. Compared to Chat GPT, this tool had more features to it and numerous ready-to-use templates saving the user tons of time. You can fill in any request you like and add the preferred tone of voice (e.g., persuasive, witty, or professional). The AI tool will then generate multiple suggestions for you to use. Here’s an example of an AI-generated job description for a cashier at a supermarket. Of course, you’ll need to add your specifics, but hey, it’s a start! 😏

4. Beatoven.ai

Want to share a short video on your social intranet announcing a new campaign but struggling to find suitable background music for the video? Beatoven.ai has got you covered. Beatoven uses AI music generation techniques to compose mood-based music to accompany your next business update video. They have a free plan, so you can test it out and see if it could work for you.

5. Pictory.ai

Another exciting tool to enrich your content is Pictory. Pictory helps you with all things video. It lets you turn written content into video, create transcripts for long-form videos, or it can help you automatically create a teaser for a longer video (like the example of our H&M case study, shown below). I must say the transcription feature needs some improvements, but it’s pretty impressive already! You can get started for free.

These tools and use cases are just the tip of the iceberg, and I’m sure more and more useful AI tools will become available shortly.

Good luck testing these tools, and let us know if you like them!
