Setting up your internal communication platform

Time to set up your internal communication platform.

Step 1: Create your communities

Every organization has different communities, depending on stuff like location, or job function. Every community has its own feed, via which all employees in the community can communicate.

Step 2: Set up organization and community groups

Groups can be made at the organization and community levels. For example, you can create an organization group with all the cashiers or floor managers throughout the organization or a dedicated group including all employees for crisis communications.

Groups within the community can be used for more local communications. For example, have a community group to share any achievements or other announcements within a specific department. An example could be to share any shift handovers in the community to make the transition of duties more efficient.

Step 3: Start engaging

Time to invite all employees to start working with Oneteam. Easily integrate relevant employee data from your existing HR platforms, or upload a .csv file with employee data.

Easily create a message, run a poll, or share an awesome team picture! Anyone in the community can reply to the posts with high-fives or comments.

Do you have important announcements to share? Selected people in the community have the ability to mark a message as important. This message will then be pinned to the top of the personal timeline of every employee. They will have to mark the message as read.

Each employee has a personalized timeline, depending on the groups they are a member of. They can decide on their own privacy settings and determine who can send them a chat message and who can see they were last online. Admins will always be able to send chat messages to anyone.

Want to chat with anyone in your organization? Just head over to the chat function and start a private or group conversation. Start chatting and share photos, videos, or GIFs with your peers.

Step 4: Manage the community via your organization dashboard

Let’s have a quick look at the organization dashboard. This is the place where you can manage your users, settings, and more. Send out any top-down messages to all or a selected group of employees. These messages will be sent out from the organization.

Step 5: Gain actionable insights to improve your employee engagement

Get valuable insights into all relevant engagement metrics and watch how your employee engagement stats skyrocket!

Quick tips to boost employee engagement

Oneteam users see an average engagement of above 85% weekly active users. Be aware, the success of your internal communication platform and the engagement within the platform highly depends on how you connect and engage with your employees from the day of the launch onwards.

Some tips to take into consideration:

  1. Lead by example and send out weekly messages. Schedule messages to make sure you have a consistent flow of communication.
  2. Run polls to interact with your team and give them a voice in company decisions.
  3. Share photos and videos and start gathering high-fives and comments on your posts. You’ll see your employee engagement go through the roof when sharing media-rich content!
  4. Stop sending communications via other channels for internal communication, and stimulate your team to use your Employee Experience Platform.
  5. Celebrate successes by acknowledging individuals and teams for their hard work.
  6. Stimulate a learning community and start creating fun and interactive eLearning modules.
  7. Ask for feedback via employee surveys to learn what’s working and gain actionable insights on what needs to be improved.
